Void or delete an invoice

Steps

1. Open MAJA Books and click Sales in the left menu, then Invoices.
2. Click the invoice to open it.
3. Click the ··· (more) button at the right end of the action bar.
4. Choose Void for a posted invoice, or Delete for a draft.
5. Read the confirmation and click OK.

What MAJA does for you

• Void keeps the invoice and its number in the register forever, marked VOID. Its original journal stays in its own period, and a reversal journal is posted today. Stock taken out by the invoice is put back.
• The voided invoice shows a VOID banner: nothing is owed and nothing was received.
• Delete (drafts only) removes the draft — a draft never posted anything.

Good to know

• A posted invoice cannot be deleted. MAJA says it is voided, never deleted and offers Void instead.
• Void is refused while other documents depend on the invoice (for example payments or credit notes applied to it). MAJA lists them in a Can't void … yet window — un-apply or reverse them first.
• A draft has nothing to reverse, so Void tells you to delete it instead.
• A void is final. A voided invoice still shows Convert to Draft in its menu, but MAJA refuses it with a cannot be converted to draft message. To bill the customer correctly, use Clone on the voided invoice and save the copy as a new invoice.
• To reduce or cancel part of an invoice that was correctly issued, a credit note is usually the right document. To write off a customer who will not pay, use Bad Debt Relief.
