Pay a supplier bill
Quick answerIn MAJA Books open the bill under Purchase → Bills and click Record Payment, enter the amount, date and the bank or cash account it was paid from, and click Record Payment — or use Purchase → Payments Made → Record Payment to pay a bill in a foreign currency or by cheque.
Pay from the bill
- Open MAJA Books and click Purchase in the left menu, then Bills.
- Click the bill to open it.
- Click Record Payment.
- Check Amount Paid * and Payment Date *.
- Choose the Payment Method and the Paid From Account *.
- Optionally enter Reference # (Cheque / Transfer Ref) and click Record Payment.
Pay from Payments Made
- Click Purchase in the left menu, then Payments Made, and click Record Payment. Bill Payment is selected at the top.
- Choose the Vendor; MAJA shows the vendor's open position.
- Set Payment Date and Payment Mode (Bank Transfer, Cash, Cheque, Card or Other).
- Choose the bill in Against Bill.
- Under Amount, choose the Currency. For a foreign currency, enter the Exchange Rate (→ AED) and the foreign amount; MAJA works out the AED amount.
- Choose Paid From (Bank/Cash Account) and check Amount Paid (AED).
- Check the Journal Entry (auto-posted on save) preview, attach the supplier's receipt if you have one, and click Record Payment.
What MAJA does for you
- MAJA numbers the payment, posts Dr Accounts Payable / Cr the bank or cash account, and applies it to the bill, which becomes Partial or Paid.
- Anything paid above the bill balance is held as a vendor advance, and MAJA tells you how much — use Apply Advance on another bill.
- The payment appears in Bank & Cash → Recent Transactions and on the bill under Payments Applied.
Good to know
- On Payments Made, a bill must be chosen in Against Bill; to pay without a bill, switch to Advance Payment.
- A cheque does not leave your bank until it is presented. In Payments Made, choose Cheque, set Paid From to Cheques issued — not yet presented, and fill Cheque Number * and Date written on the cheque *. Choosing Cheque with a real bank account is refused. The Record Payment window on the bill refuses cheques — use Payments Made.
- A voided bill cannot be paid.
- A payment dated in a locked period is refused with Payment blocked: and the reason.
