Edit an invoice

Quick answerIn MAJA Books open Sales → Invoices, click the invoice, then click Edit — change what you need and save again; MAJA reverses and re-posts the journal and stock, or, if you only changed notes, terms, PO or salesman, leaves the ledger untouched.
Where: MAJA Books → Sales → Invoices → (open the invoice) → EditWho: Any user whose role allows editing sales invoices

Steps

  1. Open MAJA Books and click Sales in the left menu, then Invoices.
  2. Click the invoice in the list. It opens on the right with its action bar.
  3. Click Edit. The form opens titled Edit Invoice — INV-… with the saved values.
  4. Make your changes (lines, quantities, prices, dates, notes).
  5. Click Save & Send to keep it posted, or Save Draft to take it back to draft.

What MAJA does for you

  • If you changed only Notes, Notes (Arabic), Terms & Conditions, PO Number or Salesman, MAJA saves just those fields and says the ledger and stock were not touched.
  • For any other change, MAJA reverses the old journal and stock effect and posts the new ones, then re-checks payments and credits already applied.
  • Saving a posted invoice as Save Draft asks you to confirm Un-post INVOICE to draft? — all its ledger, stock and VAT effects are reversed until you post it again.

Good to know

  • Reducing the total of an issued invoice shows an FTA note: the compliant route is a Tax Credit Note. You can continue (the choice is logged) or cancel and issue a credit note instead.
  • If the edit would take the invoice below what has already been paid against it, MAJA shows how the payments will be released and asks you to confirm.
  • You cannot change the customer on an invoice that has payments or credits applied. Un-apply them first, or void the invoice and create a new one.
  • You cannot cut a quantity below what a credit note has already returned against the invoice.
  • An invoice that was cleared through e-invoicing cannot have its amounts, date, customer, TRN or number changed; only cosmetic fields stay editable.
  • Changing the invoice number shows a note that tax-invoice numbering must stay sequential and the change is logged.
  • Use Clone in the ··· menu to start a new invoice from this one instead of editing it.
