Record a post-dated cheque received and clear it into the bank
Quick answerIn MAJA Books record the customer's cheque as a payment with Payment Mode Cheque, received into Cheques in Hand — not yet banked; when the bank credits it, go to Bank & Cash, open Cheques in Hand and click Cleared, choose the bank and the date, and click Post the transfer. A bounced cheque is recorded from the same register.
Record the cheque when you receive it
- Open the customer's invoice and click Record Payment (or go to Sales → Payments Received → Record Payment).
- Set the payment method to Cheque.
- Enter the cheque number and the date written on the cheque (Cheque # / Maturity).
- Leave Received Into on Cheques in Hand — not yet banked, enter the amount and click Record Payment.
Clear it into the bank
- Click Bank & Cash in the left menu.
- Click the Cheques in Hand row in the Accounts table. A matured badge shows how many cheques have reached their date.
- In the cheque register, find the cheque. Optionally click At bank when you hand it over the counter.
- When the bank has credited it, click Cleared.
- Choose Into which bank account? * and Date it cleared *, then click Post the transfer.
If the cheque bounces
- In the same register, click the bounce button (warning triangle) on the cheque's row.
- Choose Why did it bounce? * (for example Insufficient funds), add a Note, set Date it bounced, and enter Bank's return charge (AED) and Charged by which bank? if the bank charged you.
- Click Record the bounce.
What MAJA does for you
- On receipt, the invoice is settled and the money sits in 1150 Cheques in Hand — not in the bank. The Cheques in Hand tile on Bank & Cash shows the total.
- At bank only changes the cheque's status; nothing posts.
- Cleared moves the amount from Cheques in Hand into the chosen bank, with the customer's name on the bank entry.
- Record the bounce voids the receipt (it stays in the register marked VOID with the reason), so the debt comes back on the customer's invoice, and posts the bank's charge if you entered one.
Good to know
- A cheque received straight into a bank account is refused — it has not reached the bank yet.
- A cheque that has already cleared cannot be recorded as bounced; void the receipt and record the bank's return separately.
- The register has filters On hand, Matured, At bank, Cleared, Bounced and All, and a link to open each receipt.
