Track batches and expiry dates
Quick answerIn MAJA Books tick Tracks expiry (and optionally a Shelf life in days) on a stock-tracked item under Inventory → Items & Services, type the batch and expiry on each bill line, and read Reports → Inventory → Expiry — batches on hand to see what is expired or expiring within 30, 60 or 90 days.
Steps — set up the item
- Click Inventory, then Items & Services, and open the item (it must be Goods with Track Inventory for this item ticked).
- In the Inventory Tracking section, tick Tracks expiry.
- Optionally enter a Shelf life (days). When no expiry date is typed, MAJA uses the receipt (or production) date plus these days.
- Click Save Item.
Steps — when the goods arrive
- On the bill (Purchase → Bills), fill the Batch · expiry column on the item's line: the batch number and the expiry date.
- Save the bill as usual. Import orders carry the batch and expiry on their lines too.
Steps — see what is expiring
- Click Reports, choose the Inventory family and open Expiry — batches on hand.
- Use the window selector to choose 30, 60 or 90 days.
What MAJA does for you
- Keeps each receipt as its own stock layer with its batch and expiry, and moves them with the stock on transfers.
- The Expiry report shows three bands — Expired — on the shelf, Expiring within … days, The rest with a date — then every batch on hand, earliest first, with its quantity, cost and value.
Good to know
- Stock received before you switched on expiry tracking has no date and is not listed. The report tells you how many such items still hold stock.
