Issue a local purchase order (LPO) and convert it to a bill

Steps

1. Open MAJA Books and click Purchase in the left menu, then Local PO.
2. Click New Local PO. The form New Local Purchase Order opens.
3. Check LPO # * and Date *; set Expected Delivery if known.
4. Choose the Vendor * and type the Delivery Location.
5. Choose Payment Terms (Cash on Delivery, Net 15, Net 30, Net 45, Net 60 or Advance Payment) and Priority (Normal, Urgent or Low).
6. Under Items / Services, fill Description, Account *, Qty, Unit, Unit Price (AED) and VAT % for each line. Click Add Line for more.
7. Check Subtotal (ex VAT), VAT (5%) and Total Amount.
8. Add Terms & Conditions / Notes and Attachments if needed.
9. Click Issue LPO, or Save Draft.

Convert the LPO to a bill

1. Open the LPO from the Local PO list.
2. Click Convert to Bill.
3. MAJA opens New Bill pre-filled with the vendor, the LPO number in Order Number, today's date and the LPO lines.
4. Enter the Supplier Invoice No., check the VAT and quantities against the supplier's invoice, and click Save & Open.

What MAJA does for you

• An LPO posts no journal and moves no stock — it is an order to your supplier.
• When the pre-filled bill saves, the LPO is marked Converted and the Convert to Bill button disappears.
• Use Share or PDF/Print on the LPO to send it to the supplier.

Good to know

• Every LPO line needs an Account, because it drives the bill posting when the LPO converts.
• In the LPO's ⋯ menu you can Clone it, switch between Mark as Sent and Convert to Draft, or Delete it (an LPO posts nothing, so deleting it removes only the order).
