Create and send a tax invoice
Quick answerIn MAJA Books go to Sales → Invoices → New Invoice, choose the customer and place of supply, add the line items with their VAT rate, and click Save & Send — MAJA gives the invoice the next number, posts it to the ledger and moves any tracked stock in one step.
Before you start
- The customer must exist (Sales → Customers). Its emirate or country is what MAJA proposes as the place of supply.
- Items you sell from stock should exist in Inventory → Items & Services, so the invoice can move stock and post the cost of sales.
Steps
- Open MAJA Books and click Sales in the left menu, then Invoices.
- Click New Invoice. The form opens with the title New Tax Invoice, today's date and a due date from your invoice terms.
- Choose the Invoice Type: Tax Invoice (>AED 10,000) or Simplified Tax Invoice.
- Leave Invoice # as shown — it is the next number in your series.
- Pick the Customer. MAJA fills Customer TRN from the customer record and proposes the Place of Supply.
- Check Place of Supply *. For a UAE sale it is the customer's emirate; for an export it is outside the UAE. A yellow note under it explains the VAT effect.
- Optionally choose a Salesman, change the Due Date and type a PO Number.
- Choose Item Tax Preference: Tax Exclusive (prices before VAT) or Tax Inclusive (prices include VAT).
- Choose Discount Type: At Transaction Level (one discount in % or AED for the whole invoice) or At Line Item Level (a Disc column on each line).
- On the first line, type in Description to search your items (a barcode or SKU also works), then set Qty, Rate and VAT%. Account is filled from the item; you can change it.
- Click Add Line for each further line. Check Subtotal, Discount, Taxable Amount, VAT and Total at the bottom.
- Optionally fill Notes, Notes (Arabic), Terms & Conditions and drop files under Attachments.
- Click Save & Send to issue the invoice, or Save Draft to keep it as a draft.
What MAJA does for you
- On Save & Send, MAJA takes the next free invoice number, saves the invoice as Sent, posts the sales journal (receivable, revenue and output VAT), and for tracked items takes stock out at FIFO cost and posts the cost of sales.
- A draft posts nothing — no journal, no stock movement — until you save it again with Save & Send.
- The invoice opens in the list with a What's next? banner offering Record Payment.
- Attachments are uploaded once the invoice has saved.
Good to know
- Save & Send does not e-mail the invoice by itself. Use Share on the saved invoice to e-mail, WhatsApp or print it.
- If no place of supply is chosen, MAJA refuses to save and asks you to choose the PLACE OF SUPPLY.
- If the place of supply is outside the UAE, a line still at 5% is refused — set it to 0%, or change the place of supply.
- A zero-rated export with no attachment asks you to confirm: ZERO-RATED EXPORT WITH NO EVIDENCE ATTACHED. Attach the customs export declaration when you have it.
- If the number you typed already belongs to another invoice, MAJA assigns the next free number and tells you.
- An invoice dated in a locked period is refused with Invoice blocked: and the reason.
