Write back a supplier balance you will never pay
Quick answerIn MAJA Books go to Purchase → Payable Write-backs → New Payable Write-back (or open the bill and choose Record Payment ▾ → Write Off (PWB)), choose the vendor and open bill, the date and amount, say whether input VAT was claimed, enter the reason and approver, and click Post write-back — MAJA clears the payable to write-back income and repays the VAT slice.
Steps
- Open MAJA Books and click Purchase in the left menu, then Payable Write-backs.
- Click New Payable Write-back. (From a bill: click the arrow next to Record Payment and choose Write Off (PWB) — the bill is filled in.)
- Choose the Vendor * (only vendors with open bills are listed) and the Open bill *. MAJA shows the bill's original amount and what is outstanding.
- Set the Write-back date * and check Amount (AED) * (the outstanding balance is filled in).
- Keep Input VAT was claimed on this bill — repay the VAT slice to the FTA (unpaid-consideration rule) ticked if you claimed the VAT on that bill; untick it if you did not.
- Write the Reason (required) and Approved by *; add Notes if needed.
- Attach the evidence (for example the vendor's closure letter).
- Click Post write-back.
What MAJA does for you
- MAJA posts Dr Accounts Payable / Cr Write-back Income (net) + Cr Input VAT (the VAT repaid), and the bill's balance drops by the amount written back.
- The original bill is never changed except its settlement state.
- The list shows the total written back, the amount taken to income and the input VAT repaid.
Good to know
- The amount cannot be more than the bill's outstanding balance.
- A write-back without a reason or approver is refused — the reason stays on the record and the journal.
- To correct it, open it and click Edit (it is reversed and re-posted). To cancel it, use ··· → Cancel (void + reversal); the bill's balance comes back.
