Reconcile a bank account with the bank statement

Quick answerIn MAJA Books go to Bank & Cash → Reconcile → New Reconciliation, choose the bank account, statement date and closing balance per bank, click Import statement to bring in the bank's CSV, click Auto-match, match or book the remaining lines, and click Finalise when the difference is zero.
Where: MAJA Books → Bank & Cash → ReconcileWho: Any user whose role allows managing banking

Before you start

  • Download the bank statement for the period as a CSV file from your online banking.

Steps

  1. Open MAJA Books and click Bank & Cash in the left menu.
  2. Click Reconcile, then New Reconciliation.
  3. Choose the Bank account *, the Statement period from, the Statement date (closing) *, the Opening balance per bank and the Closing balance per bank *, and click Start reconciliation.
  4. Click Import statement. Choose the CSV file, or paste the rows into the box (header row included), click Preview, then Import lines.
  5. Click Auto-match. MAJA ticks off statement lines that have exactly one ledger line with the same amount within five days.
  6. For each line left over, click Match on the statement line and then Match here on the ledger line it belongs to.
  7. For items the bank shows but your books do not (bank charges, interest, direct debits), click + on the statement line. In Book what the bank already did, choose the account to charge or credit, check the date and amount, and click Post & match.
  8. For a duplicate line on the statement, click the ignore (eye) button on it.
  9. When the difference is zero and every statement line is matched or ignored, click Finalise and confirm.

What MAJA does for you

  • The reconciliation shows: balance per bank, plus deposits in transit, minus unpresented cheques, equals the adjusted bank balance — compared with the balance per your books.
  • Importing and matching post nothing. Only Post & match creates a journal, through the normal posting rules.
  • Finalising locks the matched lines to this reconciliation and confirms the books agree with the bank to the fils.

Good to know

  • The CSV needs a Date column, a description, an optional reference, and either Debit and Credit columns or one signed Amount column. Dates can be 2026-08-17 or 17/08/2026.
  • Auto-match leaves a line alone when it has more than one possible partner — a wrong match would hide a real difference.
  • Finalise is refused while any difference remains or any statement line is unmatched.
  • To change a finalised reconciliation, click Reopen and give a reason.
  • For a card payout deposited net of the acquirer's fee, tick the card-payout option in Book what the bank already did and fill Gross card takings (AED), Fee (AED) and Fee charged to; MAJA books the bank amount, the fee and the gross takings in one entry.
