Return goods to a supplier or record a supplier credit (debit note)
Quick answerIn MAJA Books go to Purchase → Debit Notes → New Debit Note (or ··· → Create Debit Note on the bill), choose the vendor, answer Return Goods?, pick the original bill, enter what is being returned or credited and click Save & Open — MAJA reduces what you owe the supplier, reverses the input VAT and, for returned goods, takes them out of stock at the bill's original cost.
Steps
- Open MAJA Books and click Purchase in the left menu, then Debit Notes.
- Click New Debit Note. (From a bill: click ··· and choose Create Debit Note.)
- Choose the Vendor; leave Debit Note # as shown and check Place of Supply.
- Set the Date and choose the Reason: Goods Return, Overcharge / Price Correction, Damaged Goods or Other.
- Answer Return Goods? *: - Yes — goods returned to supplier: choose the Original Bill *. MAJA previews the stock layers the goods will leave from. - No — financial debit note: for a price correction; no stock moves.
- Enter the lines being returned or credited, each with an Account and VAT%.
- Tick Input VAT is BLOCKED only if the original bill's VAT was blocked.
- Add Notes and attach the supplier's credit note, then click Save & Open (or Save Draft).
Use the debit note against a bill
- Open the supplier's unpaid bill under Purchase → Bills.
- Click Apply Debits. In the Apply Debit Notes window choose the debit note, check the amount and click Apply.
What MAJA does for you
- MAJA posts Dr Accounts Payable / Cr the line accounts and Cr Input VAT, so you owe the supplier less and the VAT claimed on the bill is reversed.
- Returned goods leave stock at the original bill's FIFO cost; any difference with the refund posts to a price-variance account.
- The debit note stays Open until applied to a bill.
Good to know
- With Yes — goods returned, the original bill is required and must belong to the same vendor.
- A financial debit note cannot post to a stock account — choose goods returned, or an expense account for a price correction.
- A returned-goods debit note cannot be marked VAT blocked.
- If the supplier charged you more, that is not a debit note: use Vendor Debit Note at the top of the Purchase screen, which records the supplier's supplementary invoice as a bill linked to the original.
