Quick answerIn MAJA Books go to Settings → Users & Roles → New role (or Copy on a built-in role), enter the Role name and Description, tick View, Create, Edit and Delete for each part of the books, and click Make the role.
Where: MAJA Books → Settings → Users & Roles → Roles → New roleWho: Anyone whose role manages users

Steps

  1. Click Settings, then Users & Roles.
  2. Under Roles, click New role. To start from a built-in role, click Copy on it instead.
  3. Enter the Role name (for example "Sales desk") and a Description.
  4. In the table, tick what the role may do for each part of the books: View, Create, Edit, Delete. Tick Full to give the whole row. Some rows also have their own switches, such as File, Unfile, Export or Manage.
  5. Click Make the role.
  6. Give the role to a member in Members, or choose it when you invite someone.

What MAJA does for you

  • The menus show a member only what their role may view, and every New, Edit and Delete is refused before a form opens if the role does not allow it. The server checks every action by the same permissions.

Good to know

  • Five roles come built in — Owner, Admin, Accountant, Staff and Viewer — and cannot be changed. Click View to see one, or Copy to start from it.
  • View comes with create, edit or delete.
  • A role that manages users may invite people and make roles, but cannot write to the books unless it is given a module.
  • To remove a custom role, click its delete button. A role still held by members or invitations cannot be removed — give them another role first.
