Record a post-dated cheque issued to a supplier

Quick answerIn MAJA Books go to Purchase → Post-Dated Cheques → Cheque issued, choose the vendor and the bill it settles, enter the cheque number, bank, the date on the cheque and the amount, and click Record cheque; when the supplier presents it, click Cheque cleared and pick the bank — only then does your bank balance fall.

Steps

  1. Open MAJA Books and click Purchase in the left menu, then Post-Dated Cheques.
  2. Click Cheque issued. The window Cheque issued to a vendor opens.
  3. Choose the Vendor *.
  4. In Settles bill, choose the bill (or leave — none / on account —). MAJA fills the bill balance as the amount.
  5. Enter Cheque number *, Drawn on bank, Date on the cheque * and Amount (AED) *.
  6. Add Notes if needed and click Record cheque.

When the cheque clears or bounces

  1. On the Post-Dated Cheques list, click the cheque (or use the buttons at the end of its row).
  2. Click Cheque cleared. Enter the number of the bank it cleared from, then the date it cleared.
  3. If it bounced, click Cheque bounced instead, type the reason, the date, and the bank's charge (0 if none).

What MAJA does for you

  • Recording the cheque moves the amount out of Accounts Payable into Post-Dated Cheques Payable (2050). The bill is settled, but no money leaves your bank yet.
  • Cheque cleared posts Dr Post-Dated Cheques Payable / Cr Bank on the clearing date.
  • Cheque bounced reverses the cheque, puts the amount back on the bill, and posts any bank charge to Bank Charges.
  • The top of the screen shows customer cheques on hand, your cheques outstanding and how many are due to the bank today or earlier (overdue dates are shown in red).
  • Bank & Cash shows a Cheques Issued row with a badge for cheques due this week.

Good to know

  • The cheque number, the date on the cheque and the amount are required.
  • If the cheque is bigger than the bill's balance, MAJA asks you to confirm before recording the excess.
  • You can also record an issued cheque from Purchase → Payments Made: choose Cheque and set Paid From to Cheques issued — not yet presented. It lands in this same register.
  • Cheque received on this screen does not open a form for customer cheques — it reminds you to record them as a Payment Received with Payment Mode Cheque.
  • If MAJA shows Post-dated cheques are not installed yet, the feature has not been set up on your company's database.
