Post a manual journal entry
Quick answerIn MAJA Books go to Accountant → Journal Entries and click New Journal Entry, set the Date and Notes / Description, add at least two lines with an account and a Debit or Credit until the entry shows Balanced ✓, then click Post Entry (or Save as Draft).
Steps
- Click Accountant in the left menu, then Journal Entries.
- Click New Journal Entry at the top of the page.
- Set the Date. The Journal # is filled for you.
- Optionally enter a Reference #.
- If the entry should reverse itself later (an accrual, for example), set Reverse on (optional).
- Type the Notes / Description.
- On each line, search the Account by code or name, add a line Description if you like, and enter a Debit or a Credit.
- Use Contact to name a customer or vendor on a line, and Bank Tag on any line that hits a bank or cash account.
- Click Add line for more lines.
- When the pill shows Balanced ✓, click Post Entry. To keep working later, click Save as Draft.
What MAJA does for you
- Posts the entry to the ledger. With a Reverse on date, MAJA also posts the opposite entry on that date.
- Tags a cash line to its bank account automatically when only one bank or cash account uses that ledger code.
- A draft stays out of the ledger until you post it from the list.
Good to know
- MAJA refuses an entry with no description, fewer than two lines, a line with both a debit and a credit, an amount without a matching account, or debits that do not equal credits.
- A date inside a closed month is refused: Journal blocked: … (Save as Draft keeps your work.)
- A cash line without a Bank Tag still posts to the ledger but does not show in Bank & Cash or the balance sheet cash rows. MAJA asks before posting it.
- Editing a posted manual journal reverses the old entry at its own date and posts the new one; nothing is deleted.
- Journals created by invoices, bills and other documents cannot be edited here — edit the document instead.
