Record a supplier bill (including reverse charge)
Quick answerIn MAJA Books go to Purchase → Bills → New Bill, choose the vendor, enter the supplier's invoice number, the bill date and payment terms, add the lines with their account and VAT rate, tick reverse charge for a foreign supplier who charged no VAT, and click Save & Open — MAJA posts the payable, the input VAT and any stock received.
Before you start
- The vendor must exist (Purchase → Vendors).
- Goods bought from outside the UAE belong in an Import Order, not a bill.
Steps
- Open MAJA Books and click Purchase in the left menu, then Bills.
- Click New Bill.
- Choose the Vendor. A hint under it tells you how MAJA will treat VAT for this vendor.
- Leave Bill # as shown (your own internal number).
- Check Place of Supply.
- Enter Supplier Invoice No. — the vendor's own invoice number. Optionally fill Order Number, Reference # and Permit #.
- Set the Bill Date, choose Payment Terms (Due on Receipt, Net 15, Net 30, Net 45, Net 60 or Custom) and check the Due Date. If you have more than one stock location, choose Receive into.
- Set Item Tax Preference and Discount Type.
- Add the lines: Description (search your items), Account, Qty, Rate, VAT%. Click Add Line for more.
- Tick This transaction is subject to reverse charge if the supplier is outside the UAE and charged no UAE VAT (set the line VAT to 0%).
- Tick Input VAT is BLOCKED — it cannot be recovered, so it becomes cost only if the VAT on this bill cannot be reclaimed.
- Add Notes and attach the supplier's invoice under Attachments (on a phone, Take a photo of the bill).
- Click Save & Open, or Save Draft.
What MAJA does for you
- MAJA posts Dr the line accounts and Dr Input VAT / Cr Accounts Payable. Stock lines create FIFO layers at the bill cost.
- With reverse charge, the supplier is paid the net amount and MAJA self-accounts the VAT: Dr Input VAT / Cr Output VAT. Both appear on the return and cancel; no cash moves.
- With blocked VAT, the VAT is added to the cost on the line account instead of Input VAT.
- The bill opens with Record Payment, Apply Advance and Apply Debits actions.
Good to know
- Every line needs an Account; otherwise MAJA says Please select an account for each line item.
- The same supplier invoice number cannot be entered twice for one vendor: MAJA refuses with DUPLICATE SUPPLIER INVOICE.
- A reverse-charge bill that still carries VAT on its lines is refused — a supplier outside the UAE cannot charge UAE VAT.
- If the company is not VAT-registered on the bill date, reverse charge is not offered and VAT is cost.
- Blocked VAT cannot be used on a bill that carries tracked stock.
- A foreign vendor with no VAT and no reverse-charge tick shows a warning: goods belong in an Import Order; a service needs the reverse-charge tick.
- A posted bill is voided, never deleted (··· → Void). Only a draft can be deleted.
