Record a customer payment against an invoice

Quick answerIn MAJA Books open the invoice under Sales → Invoices and click Record Payment, enter the amount, date, payment method and the bank or cash account it was received into, then click Record Payment — MAJA posts the receipt, reduces the invoice balance and marks it Partial or Paid.
Where: MAJA Books → Sales → Invoices → (open the invoice) → Record PaymentWho: Any user whose role allows recording payments received

Before you start

  • Add at least one bank or cash account under Bank & Cash so you have somewhere to receive the money.

Steps

  1. Open MAJA Books and click Sales in the left menu, then Invoices.
  2. Click the invoice. Its balance due is shown on the invoice and in the What's next? banner.
  3. Click Record Payment (the blue button in the action bar, or the one in the banner).
  4. Check Amount Received *. MAJA fills in the full balance due; change it for a part payment.
  5. Set Payment Date *.
  6. Choose the Payment Method: Bank Transfer, Cash, Cheque, Credit Card or Online Payment.
  7. Choose Received Into * — the bank or cash account where the money landed.
  8. Optionally type Reference # (Cheque / Transfer Ref).
  9. Click Record Payment.

What MAJA does for you

  • MAJA numbers the receipt, posts it (bank or cash up, receivable down) and applies it to the invoice in one step.
  • The invoice becomes Partial or Paid, and the payment is listed on the invoice under Payments Applied.
  • If you received more than the invoice balance, the extra is held as customer credit (Customer Deposits) and MAJA tells you how much — use Apply Credits on another invoice, or refund it.
  • The receipt also appears under Sales → Payments Received and in Bank & Cash → Recent Transactions.

Good to know

  • For a cheque, choose Cheque, then enter Cheque # / Maturity * (the cheque number and the date written on it). Received Into switches to Cheques in Hand — not yet banked. The money moves to your bank only when you mark the cheque Cleared on Bank & Cash.
  • A cheque received straight into a bank account is refused: A cheque has not reached the bank yet — receive it into Cheques in Hand.
  • Cheques in Hand only holds cheques; choosing it with another method is refused.
  • A payment dated in a locked period is refused with Payment blocked: and the reason.
  • To record a payment for several invoices or without opening the invoice, use Sales → Payments Received → Record Payment.
