Record leave and check the annual leave balance
Quick answerIn MAJA Payroll go to Employee → Leave tracker → Record leave, choose the employee, the leave type, the from and to dates, the payroll month and who approved it, click Record, then click Approve on its row; the Annual leave balances card shows each active employee's balance and payroll treats the days by type.
Steps
- Under Employee, click Leave tracker.
- Click Record leave.
- Choose the Employee.
- Choose the Leave type: Annual leave, AL paid out (employee worked), Sick — full pay, Sick — half pay, Sick — unpaid, Public holiday, Unpaid leave, Maternity or Paternity.
- Enter the From date and To date.
- Check the Payroll month (for records).
- Choose who it was Approved by.
- Click Record — the leave is saved as Pending.
- On its row click Approve (or the ✕ to reject it with a note).
What MAJA does for you
- The days are counted from the dates, both days included.
- Annual leave is checked against the balance; days already pending approval are held too. If there are not enough days you see "Only N AL day(s) free" and nothing is saved.
- The balance is: nothing before 6 months of service, 2 days a month from month 6 to 12, then the company's days a year (Settings → Annual leave days/year, 30 at the least), less unpaid leave, annual leave taken or booked, and leave paid out.
- Only an approved leave counts — in the balance and on the payroll run. A pending one is shown as pending.
- On the payroll run, annual leave, maternity and paternity days are paid; sick days go into the full-pay, half-pay or unpaid boxes; unpaid leave is deducted.
Good to know
- Approval is a second step by anyone who runs payroll: record, then Approve. A rejected leave keeps its days in the balance and shows the note.
- To cancel a record, click the void icon on its row; Restore brings it back as pending, to be approved again. Voided leave does not count anywhere.
- The edit icon changes the employee, type, dates, month or approver; the days follow the dates. Changing an approved leave sends it back to Pending.
- AL Balance override on the employee form is the balance on the day you type it; only leave taken or paid out after that day comes off it.
